Got a quote that's been accepted? Or maybe you need to book a quick service call? Either way, scheduling a job in SemaQuote takes just a few taps. Once it's on your calendar, you'll have everything you need - client info, quote details, and job notes - all in one place.
Let's walk through how to get your jobs scheduled and organized.
Two Ways to Create a Job
You can schedule jobs from two different starting points, depending on your workflow.
Start Fresh from the Jobs Tab
This is perfect when you're booking something new or the job isn't tied to an existing quote yet.
- Open SemaQuote and tap Jobs in the bottom navigation
- Tap the + New Job button in the top right corner
- Fill in your job details (we'll cover these below)
- Tap Save - and you're done!
Your new job appears on your calendar right away.
Schedule Directly from a Quote
When a client accepts your quote and you're ready to book the work, this is the fastest path.
- Open the quote you want to schedule
- Tap Schedule Job
- The form opens with the client and quote already linked - nice, right?
- Add your date, time, and any other details
- Tap Save
Pro tip: Scheduling from a quote means your revenue tracking stays accurate automatically. The quote value flows through to your completed job reports without any extra work.
What Goes Into a Job?
Here's what you'll see on the job form - and what each field does for you.
The Essentials
These fields help you identify and schedule the job:
-
Job Title - Give it a clear, descriptive name. Something like "Kitchen Cabinet Installation" or "Annual HVAC Service" works great. You'll see this title everywhere: your calendar, job list, and dashboard.
-
Date - When is this happening? Pick the day you'll do the work.
-
Start Time - What time should you arrive? This helps you plan your day and shows up on your calendar timeline.
Optional (But Really Helpful)
These fields aren't required, but they make your life easier:
-
Duration - How long will this take? Choose from quick options (30 min, 1 hour, 2 hours, 4 hours, full day) or set a custom time. This affects how your job displays on the calendar - longer jobs show as bigger blocks.
-
Client - Link to an existing client by typing their name. Once linked, you'll have one-tap access to call them, email them, or get directions to their location.
-
Quote - Connect this job to a specific quote. Only quotes for the selected client appear here. This is key for tracking which quotes become actual work.
-
Notes - Jot down anything you'll need on the day. Gate codes, parking tips, special materials to bring, client preferences - if it helps you do the job, put it here.
-
Address - If the work happens somewhere other than the client's default address, enter the job site location here.
Why Linking Matters
When you connect your jobs to clients and quotes, good things happen:
-
Everything in one place - Tap a job and see the client's contact info, the quote amount, and your notes. No hunting through different screens.
-
Accurate tracking - Your dashboard automatically calculates revenue from completed jobs that have linked quotes. No manual math required.
-
Client history - Open any client's profile and see every job you've done for them. Great for building relationships and providing consistent service.
-
Quote follow-through - Know exactly which quotes turned into scheduled work and which ones are still waiting.
Best practice: Always link to both a client and a quote when you can. Your future self (and your business reports) will thank you.
Choosing the Right Duration
Not sure how long to estimate? Here's a quick guide:
| Duration | Best For |
|---|---|
| 30 minutes | Quick service calls, follow-ups, minor repairs |
| 1-2 hours | Standard appointments, small installations |
| 4 hours | Half-day projects, complex repairs |
| Full day | Major installations, comprehensive service work |
The duration you choose affects how the job appears on your calendar. A 30-minute job shows as a small block; a full-day job takes up the whole timeline. This visual difference helps you spot gaps in your schedule and avoid overbooking.
What Happens After You Save
The moment you tap Save, a few things happen automatically:
- Your job appears on the calendar at the date and time you set
- The status is set to Scheduled (shown in blue)
- If you linked a quote, it now shows a "Job Scheduled" indicator
- Your dashboard updates to include this job in your upcoming work
From here, you can tap the job anytime to see details, update the status, or make changes.
Tips for Scheduling Success
A few habits that make a big difference:
-
Schedule quickly - Book jobs as soon as quotes are accepted. This locks in the date on your calendar and keeps your pipeline moving.
-
Build in travel time - If you have back-to-back jobs at different locations, leave yourself a buffer. Better to arrive early than keep a client waiting.
-
Be generous with notes - Gate codes, "ring the side door," "bring 2-inch screws" - these details save you time and stress on the day of the job.
-
Review your week - Every Sunday (or whenever works for you), check the week ahead in calendar view. You'll feel more prepared and can spot potential conflicts early.
