Every job in SemaQuote has a status - a simple way to track where it stands in your workflow. Is it still on the calendar waiting to happen? Are you working on it right now? Already done? The status tells you (and your dashboard) the answer at a glance.
There are four statuses to know. Once you understand them, tracking your work becomes second nature.
The Four Job Statuses
Scheduled (Blue)
This is where every job starts. When you create a new job, it automatically gets the Scheduled status.
What Scheduled means:
- The job is on your calendar for a specific date and time
- Work hasn't started yet
- Your client is expecting you
You'll use Scheduled for:
- Any new job you just created
- Future appointments - work that's coming up
- A cancelled job that's been rescheduled
How it affects your dashboard:
- Counts toward your "Upcoming Jobs" number
- Doesn't factor into revenue yet (that happens when you complete it)
On your calendar, Scheduled jobs appear as blue blocks - easy to spot and ready to be worked.
In Progress (Orange)
This status means you're actively working on a job. Most people change to In Progress when they arrive at the job site and start the work.
What In Progress means:
- Work has begun
- You're at the location or actively performing the service
- The job isn't finished yet
You'll use In Progress for:
- Jobs you've arrived at and started
- Work that's underway but not yet complete
- Signaling to yourself (or team members) that something is being worked on
How it affects your dashboard:
- May appear in "Active Jobs" counts
- Still waiting for completion before it affects revenue
On your calendar, In Progress jobs show as orange blocks - a visual cue that work is happening.
Completed (Green)
The finish line! Mark a job as Completed when all the work is done. This is the final positive outcome for any job.
What Completed means:
- All work has been performed
- The job is ready for invoicing (if you haven't invoiced already)
- Time to collect payment
You'll use Completed for:
- Jobs where you've finished all the work
- Work the client has approved
- Jobs you're ready to convert to an invoice
How it affects your dashboard:
- Counts toward your "Completed Jobs" total
- If there's a linked quote, that amount adds to your revenue calculations
- Improves your completion rate percentage
On your calendar, Completed jobs appear as green blocks - satisfying proof of work done.
Cancelled (Gray)
Sometimes jobs don't happen. The Cancelled status is for work that was scheduled but won't be performed.
What Cancelled means:
- The job isn't going to happen
- The time slot is freed up on your calendar
- No work was done
You'll use Cancelled for:
- Jobs where the client cancelled the appointment
- Work that's no longer needed
- Scheduling conflicts that couldn't be resolved
- Quotes that were accepted but then the client changed their mind
How it affects your dashboard:
- Excluded from active job counts
- Doesn't affect your revenue
- May be tracked separately for understanding your cancellation rate
On your calendar, Cancelled jobs appear as gray blocks (sometimes with a strikethrough) - clearly different from active work.
How to Change a Job's Status
You've got a couple of options for updating status, depending on what's fastest for you.
Using the Status Dropdown
- Tap a job on your calendar to open job details
- Find the Status section
- Tap the current status to see your options
- Select the new status
- It saves automatically - no confirmation needed
Using Quick Action Buttons
For the most common status changes, there are dedicated buttons right on the job details screen:
- Start Job - Changes Scheduled to In Progress (one tap when you arrive)
- Complete Job - Changes In Progress to Completed (one tap when you finish)
- Cancel Job - Changes any status to Cancelled
These buttons save you a tap or two and make updating your status practically automatic.
A Typical Job's Journey
Here's how status changes usually flow through a job's life:
Create job -> Scheduled (blue)

Invoice client -> Job stays Completed
It's a simple progression: plan it, do it, done. Each status change takes one tap.
Handling Cancellations and Reschedules
Life happens. Clients cancel, schedules change, work gets postponed. Here's how to handle it.
When a Job Gets Cancelled
- Open the job from your calendar
- Tap Cancel Job (or change the status to Cancelled)
- Consider adding a note about why - helpful for your records
- The job stays visible in your history but appears grayed out
Rescheduling a Cancelled Job
Changed their mind? Rescheduling is easy:
- Open the cancelled job
- Update the date and time to the new schedule
- Change the status back to Scheduled
- The job reappears on your calendar in blue, ready to go
Pro tip: Adding a note like "Rescheduled from Jan 5" can help you keep track of jobs that have moved around.
Status Colors at a Glance
Your calendar uses color coding so you can understand your workload without opening individual jobs:

Once you train your eyes, you can scan a week's calendar in seconds and know exactly what's happening. Blue means upcoming, orange means active, green means done, gray means not happening.
Status and Your Business Reports
Your dashboard isn't just pretty numbers - it's powered by your job statuses. Here's the connection:
- Jobs Scheduled - Count of all jobs with Scheduled status
- Jobs Completed - Count of Completed jobs in your selected time period
- Completion Rate - Completed jobs divided by total non-cancelled jobs
- Revenue - Sum of linked quote values for Completed jobs only
This is why keeping your statuses accurate matters. When you mark a job complete, your revenue numbers update. When you cancel a job, it stops counting against your completion rate. Your dashboard tells the real story of your business - but only if the data is right.
Best practice: Update status in real-time. Mark In Progress when you arrive, Completed when you finish. It takes one tap and keeps everything accurate.
